Administrative Assistant to the CFO

The Council for Christian Colleges & Universities (CCCU) is a small but growing Christian non-profit organization headquartered in Washington, DC. We are seeking to expand our capacity by adding a highly organized and detail-oriented Administrative Assistant to the Chief Financial Officer (CFO) with knowledge of general accounting and bookkeeping practices. This position will report to and serve as administrative support for the Senior Vice President, Chief Financial Officer as well as assist with the day-to-day tasks of our small finance team.

We are a relatively small, global organization with an ambitious mission, so we are looking for colleagues who are flexible, adaptable, committed to the mission, and able to take on challenges as they arise. A successful candidate must be an activator, a problem solver, and have the ability to deal with and prioritize many, sometimes competing tasks.

COVID-19 and Work Note:  The CCCU DC Headquarters is open 5 days a week. Staff can work up to 2 days remotely with approval of their supervisor. Candidates must be able to work effectively in both an in-person and virtual environment.

CCCU employees are required to adhere and agree to follow certain guidelines and procedures to ensure a safe and healthy environment. Vaccinations are not mandated at the CCCU but strongly encouraged.

Core Responsibilities:

Administrative Assistant Support:  

Primary function is to provide general administrative support to the Senior Vice President, Chief Financial Officer including but not limited to:

  • Manage the senior vice president’s daily email:
    • Review email and bring to attention important correspondence
    • Write email drafts for the senior vice president’s review and direct response 
  • Manage the scheduling of meetings
  • Arrange travel 
  • Prepare monthly credit card report
  • Prepare check requests as needed 
  • Assist with preparations for Board and Finance Committee meetings
  • Organize and file documents

Administration and Member Services:

  • Create and maintain a master list of finance and administrative projects and recurring tasks and deadlines to help keep projects on schedule and ensure on time completion
  • Create and manage a schedule for insurance renewal processes and lead the gathering of documentation for renewal applications
  • Assist with the coordination of the CFO commission and the CCCU’s insurance consortium
  • Administer and assist with the planning, communication and collection of member financial statements for the annual financial analysis report including the composite financial index (CFI project)
  • Help maintain data and assist with data entry queries on the CCCU’s database system (iMIS)
  • Serve as back up for the Receptionist & Human Resources Assistant to provide coverage of the front desk and reception area in his/her absence

Finance and Accounting Administrative Support:

  • Provide administrative support to Controller as needed
  • Support month-end and year-end closure processes
  • Assist with the management of Accounts Payable including maintaining vendor files and researching payables information as necessary
  • Assist with processing employee reimbursements and visa card reports in Concur
  • Research and resolve stale dated outstanding checks
  • Process and account for cash and check deposits on a weekly basis
  • Assist with audit requests

Other duties as assigned by supervisor.

Persons applying for the position should:

  • Have a strong appreciation for the Christian mission and purpose of the CCCU and its GlobalEd programs
  • Affirm the Nicene creed
  • Have 2-3 years of proven experience as an administrative assistant, experience in accounting a plus
  • Have mathematical and accounting acuity
  • Be detail-oriented
  • Be highly organized and flexible
  • Be a problem solver
  • Have excellent verbal, written and interpersonal communication skills
  • Be able to handle confidential information and maintain confidentiality
  • Be a motivated, self-starter who can work independently and collaboratively
  • A general knowledge of bookkeeping is highly preferred
  • Excellent time management skills and the ability to prioritize work
  • Must be proficient and experienced in using the Microsoft Suite of products including Office, Word, Excel, OneNote, and Teams
  • Experience working in databases (iMIS preferred)
  • Experience working in Microsoft Dynamics GP a plus but not necessary
