We seek a full-time administrative assistant to provide efficient administrative and clerical support to our Administrative Director and other administrative departments as needed. Duties will include telephone coverage, calendar management, expense reporting, meeting and events planning, file maintenance, faxing, scanning, and
correspondence drafting. This position may also assist with special projects as assigned. This position regularly handles telephonic and electronic mail requests and responds to inquiries from individuals both within and outside the firm. Successful candidates will be self-motivated, proactive, detail-oriented and adept at anticipating
the needs of others. Position: Nonexempt. Hours: 9:00 a.m. to 5:00 p.m.
Summary of Core Duties and Responsibilities:
Summary of Core Duties and Responsibilities:
• Provides administrative assistance to the Administrative Director including
developing, implementing and maintaining organization solutions for the
Administrative Director’s office files and project materials, performing file
maintenance, processing expenses, handling meeting details, and assisting
with special projects;
• Organizes the production and distribution of confidential correspondence
between the Administrative Director, partners, and managers;
• Prepares and distributes the daily office information bulletin and sends office
updates for inclusion in the ClearGoLaw newsletter;
• Maintains office intranet, events calendars, the Administrative Guide and the
Perks Plus program;
• Administers office parking program and distributes paychecks;
• Prepares and issues employee birthday gift certificates for Firm café vendor;
• Plans and executes office-wide social events at the discretion of the
Administrative Director;
• Assists with planning and execution of HR events, such as the Holiday Party
and Firm Outing at the discretion of the Director of Human Resources;
• May assist other administrative departments as needed.
• Other administrative duties as assigned.
Minimum Requirements:
• Bachelor’s degree or equivalent work experience;
• Minimum of one year of experience providing administrative support in a
professional services environment preferred;
• Proficiency with recent versions of Microsoft Word and Excel;
• Strong oral and written communication skills;
• Ability to communicate with tact and diplomacy;
• Pleasant demeanor and customer service orientation;
• Ability to interact effectively and professionally with all levels of Firm
personnel, vendors and visitors;
• Superior organization skills and detail orientation;
• Ability to handle confidential information with utmost care and discretion;
• Ability to prioritize among competing deadlines and tasks; and
• Flexibility to work overtime on an as-needed basis and be a team player
